This policy explains how SRMG Consulting LLP ("we"), #26/c, IIITB-IC, IIIT Bangalore Innovation Centre, Hosur Road, Electronic City, Bengaluru 560100, Karnataka, collects, keeps and handles personal data for LeadRad. We follow India's data protection laws, including the Digital Personal Data Protection Act, 2023 and its Rules, as they take effect.
1. Whose data this covers
1. Data we decide about: the people who use LeadRad for a customer (users), people who contact us, and visitors to our website.
2. Data we handle for customers: the leads, contacts and messages a customer keeps in LeadRad. The customer decides how this data is used, and we act only on its instructions (Data Processing Terms). If a LeadRad customer has contacted you, please contact that business first; we will help it answer you.
2. What we collect
- Account details: name, work email, phone number, role and sign-in records, and the sign-in details for the mailboxes, WhatsApp numbers and accounts you connect. Sign-in details are stored encrypted and used only to run those connections for you. If your business uses sign-in with a company Google or Microsoft account, we receive your email address and company from that provider.
- Business and billing details: business name, address, GSTIN, invoices and payment records. Card and UPI details are entered with our payment partner; we do not see or store full card numbers.
- Usage data: how LeadRad is used, errors and performance, and the questions our in-app assistant could not answer, with personal details removed. It never includes the content of leads or messages.
- Support data: support chats, emails and calls, and the log of any access you give us.
- Website data: only the cookies needed to sign in and to remember your settings. We use no advertising or tracking cookies.
Customer messages may contain sensitive information; we use it only to provide LeadRad.
3. Why we use it
- To provide LeadRad, sign you in and keep it secure.
- To bill you, issue GST invoices and keep tax records.
- To give support and fix problems.
- To improve LeadRad, without using lead content (except the test a customer switches on, section 4).
- To send service messages, such as billing, security and changes to terms.
- To meet legal duties.
We send news about LeadRad only if you agree, and you can stop it at any time. We use personal data with your consent, or for uses the law allows without consent.
4. AI and your data
1. AI features send the text a task needs to the AI model provider doing that task. This may be processed outside India. We prefer AI services that run in India where one is good enough for the task.
2. Our AI model providers may not use this data to train their models.
3. If a customer switches it on, we may test AI models on a sample of its messages, with names and numbers masked, to improve its AI setup. The sample is deleted after the test.
5. Who we share data with
We never sell personal data. We share it only with service providers who work for us under contract, and with authorities where the law requires. They are: AI model and speech-to-text providers, our hosting provider (India), our payment partner (India), our email and messaging providers (including our own WhatsApp number), and our website host (India).
Services a customer connects to LeadRad (for example WhatsApp, its mailbox, Google or Microsoft account, or other business tools), and anyone the customer gives access to its LeadRad app, are the customer's own providers and handle data under their own terms.
6. Where data is kept
LeadRad's databases and backups are kept on servers in India. Some providers, such as AI model, speech-to-text and email providers, may process data outside India. We will follow any restriction the Government of India places on transfers to a country.
7. How long we keep it
We keep personal data only as long as the service needs it or the law requires. In particular:
- Customers' leads, contacts and messages are deleted 30 days after the account closes, including backups.
- Invoices and tax records are kept for 8 years, or longer where tax law requires.
- Sign-up details, system logs and records of consent, access and complaints are kept for the periods Indian law requires (including the IT Rules, the CERT-In directions and the data protection rules), and records of each acceptance of our terms for 3 years after the account closes, or longer while a claim is possible or open.
Records kept only for the law are kept apart and used only for that purpose.
8. How we protect it
Each customer has its own private LeadRad app with its own database and encryption key. Data is encrypted in transit and backups are encrypted. Our staff enter a customer's app only with the customer's permission, where the law requires, or to deal with a security incident, and such access is logged. If a breach affects personal data, we inform those affected, the Data Protection Board of India and CERT-In as the law requires.
9. Your rights
You may ask us to give you a summary of your personal data and how we use it; correct, complete, update or erase it (where we need not keep it); withdraw consent (this does not affect what was done before); or nominate someone to act for you if you die or cannot act. Write to the Grievance Officer below. If you are not satisfied, you may complain to the Data Protection Board of India.
10. Grievance Officer
Our Grievance Officer's name, address, email and phone number are in the contact details on our Contact page (https://leadrad.srmgc.in/contact) and in the app. We acknowledge complaints and requests within 24 hours and resolve them within 15 days, or sooner where the law sets a shorter time. You may appeal our decision to the Grievance Appellate Committee within 30 days, as the IT Rules allow.
11. Children
LeadRad is for businesses and is not meant for anyone under 18. We do not knowingly collect children's data.
12. Google user data
This section applies when a user connects a Google account to LeadRad, or signs in to LeadRad with a company Google account. LeadRad's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
What LeadRad accesses, and why. It asks only for:
- your Google account's email address, to show which account is connected;
- Google Calendar: to create, move and cancel the meetings you book in LeadRad (with Google Meet links) on your primary calendar, and to read upcoming events so meetings are not double-booked;
- Google Contacts: to add your sales leads to a contact group LeadRad creates, and to read your contacts only to avoid duplicates. LeadRad never changes contacts you created;
- Google Tasks: to keep your follow-up actions in one task list LeadRad creates, and mark them done both ways;
- Google Drive: only the files you choose in Google's file picker, to import lead lists.
Two more permissions are asked only if we have switched them on for your firm, and only after you agree on Google's own screen:
- Google Meet: who joined your Google Meet calls and, where your Google plan makes one, Google's own transcript of the call, read with Google's Meet permission. LeadRad uses them to mark a meeting as held or missed (which moves the lead along), to send your lead a short note when they have not joined, and to write your meeting notes; the notes are written by the AI model provider doing that task, as section 4 explains. LeadRad never opens the transcript document in your Google Drive.
- Gmail, sending only: to send the e-mails you send from LeadRad from your own Gmail address, so they also appear in your Gmail's Sent folder. LeadRad cannot read your Gmail. Each such e-mail asks for replies to go to your LeadRad reply address. LeadRad receives those replies and keeps each one sealed so that only your LeadRad app can open it, until your app has taken it (at the latest 30 days). Your app adds the reply to the lead's conversation and sends a copy of it from your Gmail to your own mailbox.
If your firm switches on sign-in with a company Google account, Google's sign-in gives LeadRad your email address and your company's domain, used only to check who is signing in; LeadRad keeps no Google access for this.
LeadRad never reads your Gmail through Google's APIs.
How we use it. Only to provide and improve these features for you. We do not sell it, use it for advertising, use it to decide credit or lending, or use it to develop, improve or train general AI or machine-learning models, and our AI model providers may not do so. Where you ask for an AI feature, the text that task needs is sent to the AI model provider doing it, as section 4 explains.
If you connect your own AI tool to LeadRad (MCP), LeadRad passes it only what you ask it to, and only after you switch the link on; that tool's use of the data is governed by its own terms with you. The same applies to a limited key you give to someone who works for you, such as your agency or accountant: it reaches only what you allow, and never phone numbers or email addresses.
Who can see it. Nobody at SRMG reads your Google data unless you ask us to (for example for support), to investigate security or abuse, to comply with the law, or in aggregated and anonymised form to run the service.
How we store and keep it. In your firm's own private LeadRad app; Google access tokens are stored encrypted. We keep it while your Google account stays connected and your firm uses LeadRad.
How to remove it. Disconnect at any time with "Disconnect Google" on your Google connection in LeadRad (Settings, Accounts), or at https://myaccount.google.com/permissions. To have the data LeadRad holds from your Google account deleted, write to leadrad-support@srmgc.in; we delete it within 30 days. Meetings, contacts and tasks LeadRad added to your Google account stay there until you delete them in Google.
13. Changes
We will post changes here and tell customers in the app and by email at least 30 days before a change that matters takes effect.Terms of Service · Data Processing Terms · Refund and Cancellation Policy · Sign up
